Information for Vendors, Partners and Third Parties

Dear Valued Partner,

At Royal Care Certified Home Health Care Agency (CHHA), we believe that fostering a spirit of collaboration and compliance strengthens our shared mission of providing exceptional care to those in need.

This guide outlines the compliance expectations and obligations for vendors who do business with Royal Care Certified Home Health Care Agency (Royal Care CHHA) a Medicare and Medicaid participating provider. Our goal is to ensure that all vendors understand and comply with applicable federal, state, and contractual requirements, particularly in relation to patient privacy, billing integrity, and program participation.

Compliance Program Overview

We maintain a formal Compliance Program that aligns with federal regulations and guidance from the Office of the Medicaid Inspector General (OMIG). As a vendor, you are expected to adhere to the standards described in our: Code of Conduct, Policies and Procedures, HIPAA Privacy and Security requirements.

Annual Requirements

To ensure a smooth partnership, we require all vendors to:

  • Review and acknowledge the Code of Conduct annually.

  • Certify that you are not excludedfrom participating in federal healthcare programs (OIG and SAM exclusion screening).

  • Maintain up-to-date insurance, licensure, and registration as required by law or contract.

  • Participate in compliance attestations or surveys, when requested

HIPAA & Confidentiality

If you handle, transmit, or have access to Protected Health Information (PHI), you are required to:

  • Enter into a Business Associate Agreement (BAA).

  • Implement safeguards in line with the HIPAA Security and Privacy Rules.

  • Report any suspected privacy breach or security incident immediately.

Fraud, Waste, and Abuse (FWA) Prevention

We all play a role in preventing FWA. We expect that our Vendors to:

  • Accurately bill and document services or deliverables.

  • Report any suspected FWA to the Compliance Officer or via the Compliance Hotline.

  • Cooperate fully with internal or external audits or investigations.

Acknowledgment

As part of your agreement with Royal Care CHHA, your organization is expected to review this guide and comply with its provisions. A signed acknowledgment form may be required as part of onboarding or annual review.
